We need you for:

  • Welcome visitors, candidates, new employees, partners, and suppliers as the first point of contact

  • Manage the reception area, incoming calls, and general office communication

  • Coordinate incoming and outgoing mail, deliveries, and internal distribution of correspondence

  • Organize office supplies, business cards, catering, taxi bookings, and meeting room logistics

  • Maintain administrative processes, databases, and office documentation

  • Support onboarding activities and coordinate the setup of new employee workstations

  • Coordinate facility-related topics and act as the main contact person for external vendors, building management, service providers, and maintenance technicians

  • Support workplace management and help ensure a pleasant, professional, and well-functioning office environment

  • Assist with the organization of internal meetings, team events, and company activities

  • Monitor office inventory and coordinate reorders in collaboration with Purchasing

Your profile:

  • Experience in Front Office, Office Management, Administration, Hospitality, Customer Service, or a similar coordination role

  • Strong organizational skills with the ability to manage multiple priorities simultaneously

  • Service-oriented, professional, and approachable personality

  • Structured, reliable, and proactive way of working

  • Excellent communication and interpersonal skills

  • Confident handling of Microsoft Office applications

  • Very good German (C1) and English skills

  • Hands-on mentality and willingness to support wherever needed

  • Experience with facility coordination, workplace management, or office administration is an advantage
